Systems guide

For the IT and operations teams who will be asked to connect a new tool: which kinds of system Rōvn is built to work alongside, how a connection is agreed, and what happens to the data.

The short answer

You can start with the systems you have. Rōvn is built to work alongside your applicant tracking, HR and credentialing systems. Before we agree a scope, we confirm in writing what connects and how, and your IT and security team can review the controls and data flows for that scope.

Which systems is Rōvn built to work with?

These are the kinds of system a healthcare organization uses for one new clinician. Each row says what Rōvn is built to do with it. It is not a list of finished connectors: what connects for your organization is confirmed in writing before we agree a scope.

Applicant tracking systemPick up each accepted offer and follow the hire through to a first shift.
HR systemStart from your current roster, and keep start dates and status in step with HR.
Credentialing software or a CVOKeep each item’s source and check date in one record your teams work from.
State boards and other primary sourcesCheck a license, DEA registration or board certification with the body that issued it, and record the date.
Federal exclusion listsCheck the free federal lists directly, such as the OIG exclusion list.
Background screening vendorShow the status of a check your organization orders through its own vendor.
Occupational health providerShow health clearance as a status only. Results stay with the clinic.

How is a connection set up?

  1. On a 20-minute call, you tell us which systems your teams use to hire, onboard and credential.

  2. We confirm in writing what connects and how, before we agree a scope.

  3. Your IT and security team reviews the controls and data flows for that scope. Ask for assurance.

What data does Rōvn handle, and who sees it?

  • This website doesn’t collect credentials. Sensitive records go only through an approved, signed-in request.

  • Rōvn is built so a clinician decides what leaves their record: before anything is shared, they see who it goes to, why, and for how long.

  • Each service states who can access what, and why.

  • An uploaded file, a value read from it and a check at the source are labelled differently.

Questions

Do we have to replace our applicant tracking system?

No. You can start with the systems you have; we’ll confirm what connects before we agree a scope.

Does Rōvn make hiring or credentialing decisions?

No. People make every hiring decision, and Rōvn doesn’t reject anyone automatically. Agents are built to prepare, check and chase. Credentialing, privileging and start decisions stay with the person who signs off.

Where do credential checks come from?

Where a fact has an official source, Rōvn is built to check it with that source: a license with the state board that issued it, a DEA registration with the DEA, and a board certification with the certifying body.

Can our IT team review the details before a pilot?

Yes. Ask for assurance for your scope, or book a 20-minute call with your IT lead on it.
